Categorize bank transactions in QuickBooks

Work with For review items, posted transactions and a pending-category workflow.

What your agent can access

QuickBooks’ For review/Pending bank-feed items are different from transactions already posted to your books. The connector can read and update supported posted records. It cannot read the pending queue or accept or match those feed items through the Accounting API.

If your goal is to categorize pending items, choose the website workflow or the pending-category workflow below. Reclassifying a posted transaction does not complete bank reconciliation.

Use the QuickBooks website

  1. Open the intended company in QuickBooks, then Bank transactions. Depending on your navigation, this is under Accounting or All apps → Accounting.
  2. Select the correct bank or credit-card account and its For review/Pending tab.
  3. Review each item and match it to an existing record where appropriate, or categorize and post it.

An agent with available, authorized browser control can help with these website steps. Otherwise, complete them yourself and ask the agent to continue with the posted records. A connector permission is not permission to bypass the website’s access controls.

Use a pending-category workflow

This is useful when you want the agent to categorize transactions after they enter the books.

  1. Choose the pending-category account and posting process you intend to use. You may already have an account named Categorization pending or Temporary Account; those names are examples, not built-in requirements.
  2. In QuickBooks, review and post appropriate transactions to that account. If you choose to automate this, configure and test a QuickBooks bank rule with the intended conditions, transaction type, category and tax handling, then enable auto-add.
  3. Ask your agent to review those existing transactions, consult your saved customer policies and suggest or apply authorized category corrections. Leave ambiguous items for your judgment.

Auto-add posts transactions immediately. Creating an account or enabling that rule is a separate change; do it only when that is your intended workflow. Check for existing transactions before posting to avoid duplicates.

Give your agent the task

Replace the account name and period with your own. Your agent should confirm the company and explain any unsupported step.

Example prompt

Review last month’s posted QuickBooks transactions in our Categorization pending account. Read our saved customer policies, propose categories and tax treatment, and ask me about ambiguous items before making changes. Use the existing transactions rather than creating replacements.

Check the result

Review the changed records in QuickBooks and ask the agent to list unresolved items. A transaction leaving the pending category does not establish that it was matched to a bank-feed item or that the account was reconciled. See reconcile a QuickBooks account.
