# Teach your agent your QuickBooks Online accounting rules

Keep confirmed customer policies and useful working notes available for future tasks.

Provider: QuickBooks Online

## What belongs in customer context

Use customer context for confirmed, durable information: the customer’s business, accounting policies, naming conventions, categorization rules, recurring exceptions and prior decisions. Label unresolved questions as questions. Avoid conversation dumps, speculative policies and credentials.

Context helps the agent interpret work. It does not grant permission to change accounting records.

## Save a confirmed policy

In Meridian Starter, choose the intended customer and open **Context**. You can edit it on the website or ask an agent with access to retain a confirmed policy as part of your task.

The agent should identify the correct customer, read the current document, preserve unrelated notes and save with the current revision. If someone changed it meanwhile, it should read the latest version rather than silently overwrite it. QuickBooks Online ledger access and Starter document access are separate permission checks.

## Ask the agent to apply your rules

For customer-specific work, ask the agent to read relevant saved context before proposing changes. Templates and existing checklists can organize the work; creating a checklist does not perform it, and checking a box should follow verified work.

### Example prompt

```text
For the intended QuickBooks Online customer, read our saved accounting context before reviewing last month’s transactions. Apply the confirmed policies to your recommendations and ask about anything ambiguous. If I confirm a new durable rule, preserve the existing context and save that rule for future work.
```

## Review and maintain the notes

Open the customer’s Context page to review what was saved. Keep notes current as confirmed policies change. An agent reading context may find an empty document; that is not an error or evidence that a policy exists. See [attach invoices and receipts](/help/qbo/files) for getting supporting documents into the workflow.
